About The Role
The Administration Officer is the custodian of everything physical at the Namalu field office. You will receive and inspect supplies, run sample counts, store recipient phones securely, issue items only against approved requests, track serial numbers in programme records and the Salesforce recipient tracker, and produce monthly stock count certificates. You will also keep the asset register current from receipt to disposal.
Alongside stores and assets, you will manage office logistics, onboarding paperwork and filing, coordinate local service providers, and safeguard the petty cash float, reconciling it at every transaction and keeping it ready for surprise counts. The defining feature of the role is control: any discrepancy, loss or suspected tampering must be escalated the same day, never adjusted away in the records.
Key Responsibilities
Stores, Inventory and Recipient Phone Management
- Receive supplies, conduct physical sample counts (10โ25%), reseal cartons with tamper-evident tape, inspect for damage and report discrepancies to the Field Manager and country office before signing.
- Ensure items are properly arranged, labelled and stored, with recipient phones in secure, ventilated storage and access controlled through a key issuance log.
- Issue store items and recipient phones only against approved requests with written acknowledgment, keeping serial-number records and tracking returns in programme records and the Salesforce recipient tracker.
- Conduct regular and unannounced stock counts, coordinate audits with Finance and Country Director sign-off, monitor minimum stock levels, document handovers (including stock in transit) and submit monthly stock count certificates and reports.
Asset Management
- Record every asset in the register on receipt, with cost, serial number, tag number, location and custodian, and keep signed handover records.
- Track asset movements as they happen, run physical verifications, confirm returns and give written clearance to HR and Finance at offboarding, keep signed disposal forms and coordinate maintenance.
Administration and Office Management
- Oversee routine administration, facility maintenance and local service providers, and support travel, accommodation and events across Namalu and other Karamoja locations.
- Assist with onboarding and offboarding, maintain physical and electronic filing, and prepare administrative payment requests on time.
Petty Cash Documentation Support
- Hold and safeguard the Namalu petty cash float, kept separate from personal money.
- Buy low-value consumables against approved requests within limits, obtaining a valid tax receipt for every purchase.
- Obtain Field Manager approval before each disbursement.
- Keep the petty cash tracker updated in sequence with date, payee, purpose, amount, approver and receipt reference.
- Reconcile the float at every transaction and investigate any difference the same day.
- Submit receipts to the procurement associate on schedule and request replenishment.
- Make the float available for unannounced counts and countersign count sheets.
- Keep organised files of vouchers and receipts and provide records for audits.
Documentation, Reporting and Escalation
- Keep clear records for stores, recipient phones, assets and administration.
- Prepare regular stock, inventory and phone issuance reports and monthly certificates on time.
- Give timely updates on stock, phone balances, assets and field accountabilities.
- Ensure a complete physical and electronic file exists for every transaction.
- Escalate any discrepancy, loss, suspected tampering or control weakness the same day, and never resolve a variance by adjusting records.
- Raise fraud or misuse concerns early through the proper channels.
Qualifications & Requirements
Required Education
- Bachelor’s degree in Business Administration, Procurement and Supply Chain Management, Accounting, Logistics or a related field.
Work Experience
- At least two years of relevant experience in administration, stores, inventory, logistics, finance or operations.
- Demonstrated experience maintaining inventory or asset records and reconciling physical stock against them.
- Desirable: managing high-volume stock or electronics such as phones, working in a field office with limited support, using inventory software and supporting audits.
Additional Requirements
- Good working knowledge of MS Word, Excel and Google Workspace.
- Ability to work in a self-directed way with limited on-site supervision.
- Excellent English, oral and written.
- Willingness to live and work in Karamoja for the contract period.
