About The Company

CorpsAfrica is an international nonprofit, registered in the United States as a 501(c)(3) organisation and headquartered in Washington, DC, that lets young Africans serve as volunteers in their own countries along the lines of the Peace Corps model. It was founded in 2011 by Liz Fanning, a former Peace Corps Volunteer in Morocco, after young Moroccans told her they wanted to serve their own communities but could not join a programme open only to Americans.

About The Role

The Executive Assistant – Uganda is the Country Director’s right hand and the operational anchor of the CorpsAfrica/Uganda office. You will manage the director’s schedule and internal meetings, coordinate travel, handle incoming and outgoing communication, prepare notes, reports and briefing documents, and act as the main link between the director, staff and external stakeholders. Front-office reception, IT support and digital filing also sit with you.

The role goes well beyond diary management. You will keep registration records with the Office of the Prime Minister (OPM) and other government bodies up to date, track compliance deadlines, maintain attendance, leave and medical insurance records, and support the Accounts Officer with payment requests, quotations, purchase orders and audit-ready files. You will also work with the Communications Officer on internal and external messaging, making it a broad operations role in a growing country programme.

Key Responsibilities

Administrative and Executive Support

  • Maintain accurate and organised records, files and correspondence.
  • Prepare meeting notes, reports, presentations and briefing documents.
  • Assist with scheduling, calendar management and coordination of appointments.
  • Support the planning and execution of events, workshops and official meetings.
  • Read and analyse incoming memos and submissions, and distribute them as needed.
  • Act as a liaison between the Country Director and other departments or external stakeholders.

Logistics and Operations

  • Coordinate travel, transport and accommodation for staff and visitors.
  • Track office supplies and manage procurement requests.
  • Liaise with service providers to ensure timely delivery and documentation.
  • Maintain vehicle and asset records under supervision.

IT and Front-Office Support

  • Support management of office IT equipment and troubleshoot minor issues.
  • Maintain digital filing systems and ensure data security.
  • Handle front-office duties, including visitor reception, phone calls and correspondence.
  • Ensure the office environment is organised and professional.

Government, Donor and Compliance Support

  • Assist in preparing and organising documents for OPM and other government registrations.
  • Track compliance deadlines and maintain updated registration records.
  • In coordination with other departments, support preparation of reports and documentation required for audits or renewals.

HR and Staff Records

  • Maintain staff attendance, leave tracking and medical insurance records.
  • Support onboarding documentation for new staff and volunteers.
  • Assist in updating personnel files and ensuring confidentiality.

Internal Communications

  • In coordination with the Communications Officer, support the Country Director with related internal and external communication, including drafting, social media engagement and digital archives.
  • Maintain contact lists for media and partner organisations.

Additional Responsibilities: Support to the Accounts Officer

  • Assist in preparing payment requests, quotations and procurement documentation.
  • Track supplier deliveries and maintain a simple register of purchase orders and invoices.
  • Coordinate travel, transport and accommodation logistics for staff and visitors.
  • Liaise with vendors and service providers to ensure timely invoicing and payments.
  • Maintain organised filing of procurement and financial records for audit readiness.
  • Support compliance documentation for government and donor reporting.

Qualifications & Requirements

Required Education

  • Bachelor’s degree in Business Administration, Finance, Human Resource Management, Information Technology or a related field.

Work Experience

  • Minimum of 3 years of professional experience in administrative or operations support, preferably in NGO or development settings.
  • Working knowledge of procurement procedures, logistics coordination and basic financial documentation.

  • A demonstrable understanding of Uganda labour laws and government/OPM administration.
  • A passion and commitment to youth leadership, participatory community development, impact evaluation, transparency and accountability.
  • Impeccable integrity, judgment and discretion, with a professional demeanour that elicits trust.
