About The Role

The Operations Intern will help manage the front desk through cordial, timely and effective internal and external communication while supporting the project office’s operational functions. The internship is designed as a practical learning ground for two recent graduates in procurement, logistics and operations, with placements in Jinja and Rukungiri and a stated duration of four to six months.

Day-to-day work covers administration, filing, meetings, travel logistics, procurement requests, quotations, deliveries, supplies, assets and documentation. The intern will also support preliminary completeness checks, generate Procurement to Pay purchase orders in SAP, follow up outstanding records and liaise with internal teams and service providers. The role calls for organisation, attention to detail, communication, integrity and a willingness to learn while supporting effective project implementation.

Requirements & Skills

Key Responsibilities

  • Support routine office administration, filing and maintenance of operational records.
  • Assist with preparation, organisation and documentation of meetings, workshops and project activities.
  • Maintain proper electronic and physical filing of procurement documents.
  • Support logistical arrangements for field activities, meetings, workshops and staff travel.
  • Assist with preparation and follow-up of vehicle movement plans and transport requirements.
  • Coordinate accommodation, venues and other logistical requirements as assigned.
  • Assist in preparing and following up procurement requests and supporting documentation.
  • Support collection of quotations and maintenance of procurement records in line with organisational procedures.
  • Follow up delivery of goods and services and ensure relevant documentation is completed.
  • Support tracking of office supplies, equipment and other project assets.
  • Monitor office consumables and support timely replenishment.
  • Assist in maintaining an organised and functional office environment.
  • Support compilation and preliminary completeness checks of activity and operational documentation before submission for processing.
  • Generate Procurement to Pay purchase orders in SAP.
  • Assist with tracking outstanding operational documentation and follow up with responsible staff.
  • Ensure documents are properly filed and readily available for reference and compliance reviews.
  • Provide operational support to regional and project teams as required.
  • Liaise with relevant internal teams and service providers to facilitate timely delivery of operational requirements.
  • Perform other related duties assigned by the supervisor in support of effective project implementation.

Qualifications & Requirements

Required Education

  • Recent graduate with a bachelor’s degree in Business Administration, Procurement and Logistics, Finance, Accounting, Management or another relevant field.

Work Experience

  • Prior professional work experience is not required; fresh graduates are strongly encouraged to apply.
