About The Role
This is a strategic role for a results-driven professional who can coordinate business operations, drive execution and provide high-level executive support. As the Managing Director’s right hand, you will make sure priorities are managed well and business activities move efficiently, acting as a trusted partner rather than a traditional assistant.
The job blends four areas: executive support for the MD, operations and business coordination across departments, administration and office management, and strategic support on special projects. You will coordinate management and board meetings, act as the main link between the MD and internal and external stakeholders, and hold teams accountable so projects stay on schedule. It suits someone highly organised, resourceful and comfortable making informed decisions.
Key Responsibilities
Executive Support
- Manage the Managing Director’s calendar, meetings, travel and daily priorities.
- Prepare reports, presentations, meeting agendas, minutes and briefing materials.

Operations & Business Coordination
- Coordinate day-to-day business operations and monitor the progress of key projects.
- Follow up with department heads to ensure timely execution of agreed deliverables.
- Identify operational challenges and implement practical solutions to improve efficiency.
- Act as the primary liaison between the Managing Director and internal and external stakeholders.
- Coordinate management meetings, board meetings and strategic initiatives.
Administration & Office Management
- Oversee the efficient administration of the Managing Director’s office.
- Maintain organised records, documentation and filing systems.
- Coordinate office supplies, service providers and company events.
- Support administrative aspects of finance, compliance, procurement and contract management.
Strategic Support
- Support the implementation of strategic initiatives and special projects.
- Conduct research and prepare reports to support business decision-making.
- Recommend and implement improvements to business processes and operational workflows.
- Anticipate business needs and proactively resolve issues to keep work moving.
Qualifications & Requirements
Required Education
- Bachelor’s degree in Business Administration, Management, Finance, Operations Management or a related field.
Work Experience
- Minimum of 5 years’ experience as an Operations Manager, Executive Assistant, Office Manager or in a similar senior coordination role.
- Proven experience supporting senior executives or C-suite leadership.
- Experience coordinating multiple projects and cross-functional teams.
- Experience in financial services, investment management or professional services is an added advantage.
Additional Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong analytical, reporting and presentation skills.
Skills & Competencies
Technical Skills
- Project coordination: Tracking multiple projects and keeping cross-functional teams on schedule.
- Reporting and presentations: Producing board papers, briefings and management reports.
- Meeting management: Running agendas, minutes and action-item follow-up for management and board meetings.
- Process improvement: Redesigning workflows to make operations more efficient.
- Microsoft Office: Advanced use of Word, Excel, PowerPoint and Outlook.
Soft Skills
- Organisation and time management: Juggling the MD’s priorities without dropping details.
- Problem solving and decision making: Resolving issues before they reach the MD.
- Integrity and confidentiality: Handling sensitive information with discretion.
- Stakeholder management: Building strong relationships inside and outside the firm.
- Communication: Excellent written and verbal skills.
- Commercial awareness: A proactive, solutions-oriented mindset with strategic thinking and attention to detail.
