About The Company

UNICEF works across more than 190 countries and territories to protect children rights, survival and development. Its work covers the period from early childhood through adolescence, with attention to children facing disadvantage.

This assignment supports the Uganda Country Office internal information and collaboration systems. It brings together leadership, Digital Impact, communications, knowledge-management focal points, section representatives and staff users.

About The Digital Workplace Consultant Role

The consultant will review how the office shares information, communicates internally and collaborates across sections. A user-centred discovery process will identify pain points, information flows and business needs before the consultant agrees an information architecture, governance model and phased implementation roadmap with stakeholders. The resulting SharePoint landing page should connect staff to authoritative guidance, policies, services, news and onboarding resources through accessible navigation.

Delivery extends beyond building pages. The consultant will improve collaboration sites, rationalise and migrate content, and implement priority workflows, forms and dashboards with the Digital Impact team, subject to available licences. The assignment targets five validated automation and reporting solutions. Structured change management, user testing, training and coaching are central to adoption. The final handover must leave named owners, clear maintenance arrangements and practical documentation so that staff can manage and improve the environment after the consultancy ends.

Requirements & Skills

Key Responsibilities

  • Conduct structured discovery covering practices, pain points, user journeys, information flows and section-specific collaboration needs.
  • Review existing SharePoint and Microsoft 365 sites, pages, libraries, permissions, ownership, workflows, dashboards and engagement channels.
  • Agree information architecture, governance and a phased roadmap, managing scope, milestones, dependencies, resources, risks, issues, decisions and change control.
  • Maintain the approved workplan, requirements register, stakeholder map and handover documentation.
  • Design or improve a modern SharePoint landing page linking staff information, policies, guidance, services, news, events, onboarding and frequently used resources.
  • Improve section and cross-section sites, document libraries, metadata, views, navigation, permissions and collaboration features.
  • Implement a target of five validated workflows, forms and dashboards using Power Automate, Power BI, Microsoft Lists, Forms or other appropriate Microsoft 365 tools, subject to priorities and licences.
  • Configure staff news, engagement, publishing roles and editorial workflows with People and Culture and the Staff Association.
  • Rationalise, migrate and tag content, reducing duplication and obsolete material while improving records consistency and findability.
  • Train and coach site owners, publishers, champions and staff, providing job aids and administrator documentation.
  • Apply stakeholder analysis, change-impact assessment, sponsor engagement, communications, readiness activities, role-based learning, feedback, adoption monitoring and reinforcement.
  • Run user testing, incorporate feedback and hand over sustainable solutions with clear ownership, governance and maintenance.
  • Assess external-partner collaboration requirements and limitations, recommending and implementing secure approved information-sharing mechanisms.
